Report of the UW Digital Collections (UWDC)
Advisory Committee
May 1, 2002
Background
As recommended by the Task Force on Strategic Directions for Digitizing UW Library Collections and accepted by the Council of UW Libraries (CUWL) at its meeting on April 27, 2001, Ed Meachen, associate vice president, UWS OLIT and Paul Moriarty, 2001 - 2002 chair of CUWL formed the UW Digital Collections Advisory Committee on August 3, 2001. The committee has issued two reports to CUWL on October 1, 2001 and January 29, 2002.

Activities Since January 29, 2002
1. Professor Rima Apple was appointed to the Advisory Committee. Dr. Apple is a member of the faculty at UW Madison in the School of Human Ecology and the Women's Studies Program.
2. Belgian American Project. Final work is underway for the audio abstract for this project. Deb Anderson is working on the "About File" in consultation with UWGB faculty member, Dr. William Laatsch and community researcher, Mary Ann Defnet. (This continues Deb’s work with Dr. Laatsch since the beginning of the project.) Technical revisions to "Site Search" are nearly done. This project should be ready to view soon.
3. "UWDC Center Operating Procedures" have been drafted. These guidelines "clarify the lines of responsibility for projects." They were reviewed by the UWDC Advisory Committee and distributed to CUWL's email list. Most of the suggestions were incorporated into the final draft.
4. Copyright guidelines that deal with more specific aspects of copyright compliance and procedures were drafted. They were reviewed by the Advisory Committee and submitted to Henry Cuthbert, legal counsel at UW Madison, for further review.
5. Pioneer Experience. This project, which includes diaries and letters created by non-natives who settled in Wisconsin in the 19th Century, is based on a need identified for Wisconsin historical materials in CUWL's survey of UW System faculty. The collections chosen by UWSAC members were based on their proven use and value for classroom instruction. The digitization work on phase one is nearly done. The UWDC Center and Joshua Ranger are working on a few administrative and descriptive issues in anticipation of phase one going into production in the next two months. Ranger has sent the "About File" to Nolan Pope. Ranger is also working with UWSAC to gather information to create a MoU for phase two of this project. After the Advisory Committee reviews the MoU, it will be sent to CUWL's Executive Committee for approval. This work should be completed in this fiscal year.
6. Lee Konrad, Nolan Pope and Pat Wilkinson spoke about the UWDC Advisory Committee and the UWDC Center at an OCLC teleconference on March 11. The conference was entitled "Digitization Resources, Project Planning, and the Future.
7. The Advisory Committee is monitoring the "OCLC Digital and Preservation Resources" initiative. Pope is a member of its national advisory group, and Wilkinson, as an alternate to OCLC's Members Council attends meetings by OCLC staff and management seeking input on this initiative.
8. The Advisory Committee is reviewing a proposal from UW Madison regarding the Aldo Leopold Collection. The proposal calls for the digitization of finding guides and selected images for this collection housed in UW Madison's Archives. It will be sent to CUWL's Executive Committee for approval.
9. Future actions. The committee still needs to fill two committee slots. One for a faculty member from the comprehensives or colleges and the other for an instructional developer. Also, the committee wants to increase faculty participation in digital projects. After the Belgian American and Pioneer Experience are finished, we will ask UWSAC members to review these projects with appropriate faculty on their campuses. We believe by demonstrating two examples of projects that we will learn what faculty may be interested in digitizing in the future and encourage their interest to get involved with such projects. Lastly, the committee will develop some type of "call" for projects by September 2002.
10. No action requested by CUWL until its fall 2002 meeting.
