REPORT OF THE UW DIGITAL COLLECTIONS (UWDC) ADVISORY COMMITTEE
January 29, 2002
Background
As recommended by the Task Force on Strategic Directions for Digitizing UW Library Collections and accepted by the Council of UW Libraries (CUWL) at its meeting on April 27th, Ed Meachen, associate vice president, UWS OLIT and Paul Moriarty, 2001 – 2002 chair of CUWL formed the UW Digital Collections Advisory Committee on August 3.

Lorie Docken (UW System OLIT staff), Michael Edmonds (WHS), Laura Jacobs (librarian, UW comprehensive and UW Colleges), Nolan Pope (UWDC Center), Joshua Ranger (UW System Archives Council), Peter Watson-Boone (librarian, UW doctoral campuses) and Patrick Wilkinson, chair (CUWL).
Activities Since October 1, 2001
1. The advisory committee asked UWSAC to develop proposals that dealt with Wisconsin’s cultural heritage and met the criteria listed in the committee’s report to CUWL on October 1.
2. The advisory committee had a teleconference on October 23 to consider UWSAC proposals.
· It decided to ask Pope, Edmunds and Ranger to develop the idea regarding the “Pioneer Experience” into a detailed proposal for its recommendation to OLIT and CUWL’s Executive Committee for approval.
· The advisory committee was favorably impressed that the proposal had a clear academic purpose, would promote both undergraduate and secondary school learning experiences and have multi-campus involvement.
· The committee scheduled its next meeting.
3. The advisory committee met in Madison on November 6.
· It discussed copyright issues with Chris Ashley and Glenda Morgan from UW System Legal and received advice on how to word Memoranda of Understanding regarding copyright responsibility.
· It further discussed the “Pioneer Experience” proposal.
· It discussed the Belgian – American project and its expansion to include items that can now be handled by the UWDC Center.
· It discussed next steps and how to promote the UW Digital Collections.
4. UWDC Center Operating Guidelines were drafted to “clarify the lines of responsibility for projects.” In progress.
5. Work on the Belgian – American project is near completion. Nolan’s Report.
6. OLIT and the CUWL Executive Committee approved the “Pioneer Experience” project and work has started on it. See MOU.
7. The advisory committee met on January 28 and toured the UWDC Center.
8. Important issues to address in the near future include.
· Complete committee membership. (Three members to be appointed will represent teaching faculty from UW doctoral campuses, teaching faculty from UW comprehensive campuses and UW Colleges and a representative from UW System learning technologies.)
· Develop a good model to solicit project ideas to establish a long-range production plan. Need to get advisory committee out of the business of developing and implementing projects. Ideas welcomed.
· Ensure that project ideas include a coordinator or coordinators that have the time to implement the projects.
Action Requested from CUWL
1. Accept report.
2. Approval of a resolution of appreciation to thank Deb Anderson (UWGB) and her staff and Nolan Pope and the staff of the UWDC Center for their work on the Belgian – American project. Through their efforts, they have produced a potentially important research collection and have informed the continuing efforts to create a UW Digital Collections.
