1.  Introductions and Announcements.  Committee members and guests introduced themselves.

 

2.  Selection of Chair Elect/Secretary.  Ed Van Gemert from UW-Madison was selected as the secretary of the committee for the balance of the 2003-04 year and as chair elect for 2004-05.

 

3.    UW System Update.  Lorie Docken from UW System Administration provided a CUWL CDC update.  Depending upon the rate of inflation in the coming years, CUWL is moving toward a deficit in the e-resources budget if all of the current subscriptions for e-resources are renewed.  Work will begin in the spring to avoid a deficit and to balance the collection development budget.  That work will include the RCC.  In addition, the CDC is preparing a recommendation for the CUWL Directors that would further assess UW System campuses by increasing the System’s central acquisitions budget.  Further, CUWL is forming a working group to examine collection development within UW System as a whole.  The acquisition and duplication of serials/journals and the relationship to resource sharing across UW System will be included in this review in an attempt to maximize the use of acquisition funding collectively.  The working group will include broad System representation.

 

Lorie also updated the RCC on the ARL LibQual+ survey activities within UW System libraries.  LibQual+ is a formal assessment of quality and user services in libraries.  Libraries system-wide have been invited to participate in LibQual+ this coming year.  The results of the survey will allow us to compare data across the UW System and elsewhere.  The survey will be administered during the spring ’04 semester.

 

4.  Pat Fellows provided the committee with a description of the Desire to Learn course management software.  Shirley Hensch from UW Colleges gave a demonstration of how D2L is used in her online Psychology course.  We discussed definitions and terminology including learning objects, SCORM and IMS standards.  Pat indicated that there is a tutorial available on how to use D2L and how to prepare material for being SCORM and IMS compliant.  The tutorial is available at www.uww.edu/d2l/scos.  We discussed library connections, content and services within D2L.  The RCC will need to coordinate our work with the UWS D2L integration team.  Areas of discussion for possible content included:  e-reserves, subject guides, a checklist of what faculty might want to drop into their course, and relevant databases for a course.  Library content and services appears to score high in the list of integration.

 

Tom Murray from UW-Madison is working to build a CUWL Web site that will use D2L as a framework.  It will be used to help UWS libraries acquaint themselves with D2L and to facilitate communication.  D2L will be used as the tool in this case.  We will be able to use the framework of a course for the CUWL Web site.  We could then create various sections such as, circulation, library instruction or whatever we choose for the purpose of communication across UWS.  Tom needs the netid from each reference coordinator to provide access to this Web site.  

 

Summary discussion included the need for RCC to:

·        Learn and use the D2L software;

·        Work to get campus acceptance to have a library link on the front (login) page of each campus D2L page. 

·        Determine what content could be shared across UWS libraries and use the CUWL D2L Web site to do so.

·        Develop scenarios for library content and development.

·        Inventory what content (tutorials etc.) could be shared.

 

UW-GreenBay offered for the RCC to look at their D2L pages with links to library resources and content.  The username is ‘guestj ‘and the password is ‘tut2420’.

 

5.  Role of Reference Coordinators in implementation of Electronic Resource Management System (ExLibris SFX and MetaLib products).  RCC also discussed its role in the implementation of the ERM software.  Currently, UWS is in contract negotiations with ExLibris toward the purchase of SFX and MetaLib.  After a contract is signed, SFX will be implemented first with a goal of full implementation around April of 2004.  Valerie Malzacher prepared a list of ‘to dos’ in preparation for the implementation.  The list outlines some (there may be others) of the decision points needed to be made including:

·        Decide upon language for the SFX button.

·        Decide if the catalog is to be an SFX resource (meaning the SFX button will appear in each record retrieved).

·        Decide which SFX services we will offer users such as, if full-text is available for an article, will you provide a link to your online catalog to check for local holdings?  Or will you only provide this link if full text is not available?  Will you weight your full-text resources, so that if full-text is available in more than one resource, your weighted resources will appear as the first choice?

·        What other services will you offer?  Link to WorldCat, link to Google, etc.?

 

The MetaLib implementation will require more reference input.  Some of the likely decision points include:

 

·        Will you configure a quick search, to include only those resources that you select for your users (such as OPAC, general databases like Academic Search Elite, an encyclopedia, etc.)

·        How will you present Metalib on your main library Web page?

·        Decide on resource categories, and the resources you will include in those categories.  The resource categories can include resources that can be cross-searched, as well as those that are not eligible for cross-searching.  The categories can include as many resources as you want.  You will include a lot of resources in each category, if you decide to use Metalib to manage all your electronic resources.

·        Develop metadata for resources, so that your users can search for resources by keyword.  Metalib will come configured with resource descriptions for major databases that you can edit if you wish.

·        Will you limit the number of resources that can be cross-searched? 

·        Can we develop and share help screens and tutorials for Metalib among the UWs?

·        How much can we standardize across the UWs?

 

6.  Virtual Reference Discussion.  The RCC also discussed virtual reference services.  Many of the UWs use AskWisconsin but some use other products.  RCC members discussed their experiences within the AskWisconsin pilot and other such pilots.  It is recognized that there is a need to give the pilots some time in order to work out details of scheduling, handling reference questions and volume.  The RCC wants to look at the statistics to help answer questions about proper staffing and scheduling.  The RCC also wants to stay informed of other live help products on the market today.
