UWDICC Meeting Minutes for January 6, 2010 at 2:30 PM

Meeting was called to order by Michael Doylen with two agenda items. 

1) UWSAC University Photograph Project Proposal
At the September 16th meeting, UWDICC rejected the digitization of UW-Whitewater’s photograph collection in favor of a more inclusive proposal as outlined by Josh Ranger and Vicki Tobias and presented at the UWSAC meeting in December.  There was interest at UWSAC for the proposal and Ranger stated that it would be worthwhile from a research point of view to digitize university photographs. UW-Whitewater requested that the project start as soon as possible for their campus. Vicki Tobias has agreed and Whitewater will have metadata training next week. UW-Whitewater have 200 photographs ready to go. The project cycle for the rest of the UW system will begin on July 1st with proposals due by February 28th. Question asked on why UWDCC would reject a proposal. Tobias stated that one reason why a proposal could be rejected would be that the proposal exceeds the total number of images. Tobias stated that the total number of images must not exceed 1,000 images per cycle. Question asked about the metadata training process: Vicki Tobias/Peter Gorman stated that training would be very practical with people coming to Madison with a sample object and Leah Ujda and staff would conduct the training session concentrating on controlled vocabulary and consistency (not high level Dublin Core training).  This training could be scheduled in the summer, possibly around another event (such as the CUWL conference) or could be taken on the road to multiple sites. Tobias also stated that they have revised the UWDC collection homepage to show subcollections for each individual school’s digital collection. Doylen called for a vote on the UWSAC University Photography Project proposal and the proposal was passed unanimously.  Ranger stated that he will send out an email explaining the project and calling for proposals by February 28th. 

2) Midwest Archives Conference (MAC) journal backfile
At the September 16th meeting, UWDICC initially considered a proposal to digitize the MAC journal backfile. The proposal was submitted by UW-Milwaukee (which has a duplicate set of back issues that could be used for the project) on behalf of MAC. Ranger (current MAC secretary) led the discussion. Ranger indicated that MAC Council approved submission of back issues to the institutional repository, not the digital collections. In the interest of full disclosure, he also noted that the journal is available in full text in EBSCO from 2001-present and indexed in Wilson’s Library Literature from 1992-present, so the proposal, if accepted, would duplicate online access to the journal from 2001 to the present. Doylen called for a vote to approve the proposal to digitize the MAC journal backfile, and it was passed unanimously. Ranger will notify MAC, and UWDCC will let UW-Milwaukee know when it is ready to receive the back issues.
The committee agreed that a proposal to add current issues of the journal to the repository would need to be considered separately, as it raises questions about who would take responsibility for uploading content and providing metadata on an ongoing basis. UWDCC would prefer not to take this on. Ranger will investigate the possibility of assigning these responsibilities either to MAC's editor or its administrator and membership coordinator. Doylen indicated that as a last resort, the UW-Milwaukee Archives Department would be willing to expand its archival services to MAC to include these responsibilities, but preferred that other options be pursued first.

Other Business:

  • Josh Ranger has volunteered to be the UWDICC member to serve on the Resource Discovery Task Force.
  • Peter Gorman will forward to members the timeline that has been proposed for UW Forward.
